The Clubhouse is a mat Pilates and yoga studio operated by Maisie Kell-Stone, 16 Benton Road, Newcastle upon Tyne, NE7 7DR. We also run events and instructor training through The Clubhouse Academy. By booking a class, buying a pack or membership, or registering for a programme, you agree to these terms. All our classes are at the studio at 16 Benton Road. Our summer beach classes are not running at the moment, and we will update these terms if they return.
Classes are booked and paid for in advance through our app at app.theclubhouse.org.uk. Payments are taken by Stripe by card or Apple Pay. A booking is confirmed once payment or a pass credit has been taken. Members can book up to 9 days ahead and everyone else up to 7 days ahead, and you can hold up to 8 future bookings at once. Spaces are limited and given on a first-come basis. If a class is full you can join the waitlist: a space is offered to you for 30 minutes (15 minutes close to class) and then passes to the next person.
Packs cannot be extended or transferred. Memberships renew monthly by card through Stripe and have a minimum term of 3 months (6 months for Founders Unlimited). After the minimum term you can cancel at any time and your membership ends at the end of the current billing period. To cancel, contact us. Classes in a membership expire at the end of each monthly billing period and do not roll over. Prices may change; a change never affects a membership term you have already paid for, and Founders keep their price while their membership continues.
Give £5, get £5: you can share your referral link, your friend gets £5 Clubhouse Credit towards their first purchase, and you get £5 Clubhouse Credit when they make their first qualifying purchase. Credit is not cash, cannot be exchanged for money and is only used against purchases at The Clubhouse. You cannot refer yourself, and we may withdraw credit if the scheme is misused. Clubhouse Credit does not expire. A qualifying purchase is your friend’s first purchase of £5 or more paid by card. Credit can pay for all of a purchase except the last 30p, which is paid by card.
Attend 25 classes for Clubhouse socks, 50 for a Clubhouse tote bag and 100 for a spa facial. Only classes you actually attend count (not events or cancelled bookings). Rewards are one per milestone, have no cash value and are subject to availability. The spa facial is a £50 voucher provided by The Clubhouse.
We may change class times, locations or instructors. We will tell you promptly through the app and email, and if a change affects your booking you can cancel and get your credit back.
We may photograph or film classes for our website and social media. If you would rather not be included, tell us before class. Please do not photograph or film other people without their consent.
Pilates, yoga and other exercise carry a risk of injury. By booking you confirm you take part voluntarily and accept responsibility for risks to your health. The Clubhouse and Maisie Kell-Stone accept no liability for injury, loss or damage to property from taking part, except where the law does not allow us to exclude it. This does not affect your legal rights as a consumer, and nothing here limits liability for death or personal injury caused by our negligence. It is your responsibility to be fit to exercise; if in doubt, ask your GP.
02
You can cancel or reschedule a booking free of charge up to 10 hours before class, or up to 5 hours before if you are a member. You can reschedule each booking once. If you cancel in time, your credit goes back to your account. If you cancel later, or do not come, the credit is not returned and a £5 fee is charged to the card saved on your account. When you first book you agree to this fee. If two fees are unpaid, you will not be able to book again until they are paid. If we cancel a class, you get your credit back in full or a refund if you paid for that class directly.
If you buy a pack, membership or course online, you have 14 days from buying to change your mind and ask for a refund. If you have already used some of it, we take off the value of what you have used, and a membership that has started is charged for the days used. To cancel, email contact@theclubhouse.org.uk and we will refund you within 14 days. A booking for a particular class on a particular date is a leisure service for a specific date, so the 14-day right does not apply to it and our cancellation terms above apply instead.
03
All course and workshop purchases are non-refundable once your place is confirmed, apart from your 14-day right to cancel above where it applies. Places cannot be transferred without our written agreement. If we cancel or significantly reschedule a course, you will be offered a full refund or a transfer. Questions before you buy: contact@theclubhouse.org.uk.
Instructor training has additional terms provided at registration. Trainees must disclose any health condition that could affect the practical parts.
04
Tell us about any injury, medical condition or circumstance, including pregnancy, that could affect taking part safely before your first class, and update us if it changes. You can add this to your account in the app, and your instructor sees it before class.
If you are pregnant or recently postnatal, book a class that suits you (Mum and Baby, or a class where your instructor knows). Not every class is right at every stage.
Open from 6 weeks postpartum; babies are welcome up to about one year old, or until they are walking. You attend with your baby at your own risk, so please keep your baby safely placed at all times. You should have been cleared by your GP or midwife before exercising after birth. If unsure, ask for medical advice first.
Move within your own limits and tell your instructor if anything hurts. You can always rest or adapt. Your instructor may offer hands-on adjustments and will ask first if you are new; say no at any time and it will be respected.
Class opens 15 minutes before it starts. Please arrive about 5 minutes early so it can start on time.

The Clubhouse is operated by Maisie Kell-Stone, who is the data controller for your personal information under UK GDPR and the Data Protection Act 2018. Contact: contact@theclubhouse.org.uk.
We send service messages (booking confirmations, reminders, class changes, receipts, password resets) to everyone, because they are part of the service. We send marketing emails only if you have opted in, and every one has an unsubscribe link. We do not send text messages at the moment; if we start, we will ask for your consent first and update this page. We do not make decisions about you that have legal or similarly significant effects by automated means. We never sell your data.
Companies that process data for us, under contract and only on our instructions:
If you tap a map link we provide, your phone opens Apple Maps or Google Maps, which have their own privacy policies. Some of these providers are in the US. Where they are, the transfer is covered either by the UK-US data bridge, for providers certified under it, or by the UK addendum to standard contractual clauses in their data processing terms with us. Our database is in the EU, which the UK recognises as providing adequate protection.
The Clubhouse app uses only the cookies needed to keep you signed in and secure. It has no advertising or analytics cookies. Stripe may set cookies on the payment form to prevent fraud. Our Squarespace website has its own cookies, described at squarespace.com.
If you close your account we delete or anonymise your personal information, except what we must keep by law.
Under UK data protection law you can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, take a copy of it, and withdraw consent at any time. Email contact@theclubhouse.org.uk and we will reply within one month. You can also change most things yourself in your account. You can complain to the Information Commissioner’s Office at ico.org.uk.
Our classes and the app are for adults aged 18 and over. Babies up to about one year old, or until they are walking, come to Mum and Baby classes with their parent. We do not hold information about the babies, only your own details.
Your data sits in a protected database with access limited by role. Health notes and staff documents are only visible to the people who need them. Payments are handled by Stripe, not by us.
We will post changes here with a new date and, for anything that matters, email you.
06
This is separate from the customer policy because we hold more about you. Maisie Kell-Stone is the data controller; contact contact@theclubhouse.org.uk.
From the team details form: your full name as on your bank account, home address, date of birth, mobile number and email, emergency contact (name, relationship, number), National Insurance number, and bank details for pay. You also upload ID (passport or driving licence), your teaching qualification and your insurance certificate. In the staff area we also record the classes you teach, your check-ins, the time off you request and the classes you swap or cover.
To pay you and keep tax records (contract and legal obligation). To check your right to work and keep proof of it (legal obligation). To confirm you are qualified and insured (legitimate interest and contract). To contact someone if you are ever hurt or unwell at work (vital interests, using the emergency contact you give us). To run the timetable, cover and time off (contract).
Only Maisie. Your bank, National Insurance and ID details are kept in private storage that other staff and customers cannot open. They are shared only with our accountant or payroll provider, HMRC and, where the law requires, other authorities. Your name, photo and bio appear to customers on class pages and your teacher page, with your agreement. Tell us if you want to change or remove them.
Pay and tax records for 6 years after the tax year they relate to. Right-to-work documents for 2 years after you leave. Other staff records for 6 years after you leave. Then they are deleted.
The same as customers: ask to see, correct or delete your information, and complain to the ICO at ico.org.uk. If you are a worker or self-employed, this notice still applies to the information you give us.
